Offers are the one place people want certainty, so here is what the system does and where you should still ask your own attorney.
Is an electronic signature actually binding?
Electronic signatures are recognised for employment documents under federal ESIGN and state UETA law, and every signature here carries the record that makes it defensible: who signed, the email and phone it went to, the timestamp, and the IP and device it was signed from. We are not your attorney, though. If your industry has its own requirements, have counsel read your template once and then reuse it forever.
Can I use our own letter?
Yes, and most companies do. Paste in the wording you already use, mark the parts that change with fields, and save it as a template for that kind of role. You are not writing to somebody else's format.
What if they want to negotiate?
Change the number and send a new version. The old one is marked withdrawn and stays in the record, so there is never a question about which offer is live or what the first one said.
Do they need an account to sign?
No. They get a link by text and email, open it in their phone browser, and sign. No download, no password, nothing to install.
Can I require somebody to countersign?
Yes. Set the signing order, usually the candidate then the owner or a manager. Both parties get the fully executed copy by email the moment the last signature lands.
What happens after it is signed?
The executed PDF is filed on the candidate's profile with its audit trail, you are notified, and if you want it to, the job closes and the other candidates get the note you already wrote.
