How it works

Three fields, not a blank Word document.

The slow part of an offer was never the writing. It was finding last year's letter, changing the names, missing one, printing it, and hoping somebody drove it over. Type the three things that change and send.

1

Fill in what changes

The wage, the start date and who they report to. Everything else is the language your attorney already looked at, saved as a template for that kind of role.

2

Send it where they are

Text and email at the same time, because a text gets opened. They read it on a phone and sign with a finger. No account to create, no app, no PDF to print and scan back.

3

It files itself

The signed copy lands on their profile with a timestamp and an audit trail, both of you get a countersigned PDF, and the job can close itself the moment it comes back.

Fill the left side. The right side is what he reads.

What you type lands in the letter as you type it, so there is no version where the wage in the email and the wage in the document disagree. Nobody has to reread the whole thing looking for the number.

The people you are hiring are not sitting in front of a laptop. They get a text, open the offer, read four lines that actually matter, and sign with a finger. The whole thing takes about a minute.

Signed before the coffee went cold.

“Our offer letter used to be me opening last year's Word file and hoping I caught every name I forgot to change. Twice we sent someone the wrong wage. Now I pick the template, type three things, and it is signed before I have finished my coffee.”

Questions

The straight answers.

Offers are the one place people want certainty, so here is what the system does and where you should still ask your own attorney.

Is an electronic signature actually binding?

Electronic signatures are recognised for employment documents under federal ESIGN and state UETA law, and every signature here carries the record that makes it defensible: who signed, the email and phone it went to, the timestamp, and the IP and device it was signed from. We are not your attorney, though. If your industry has its own requirements, have counsel read your template once and then reuse it forever.

Can I use our own letter?

Yes, and most companies do. Paste in the wording you already use, mark the parts that change with fields, and save it as a template for that kind of role. You are not writing to somebody else's format.

What if they want to negotiate?

Change the number and send a new version. The old one is marked withdrawn and stays in the record, so there is never a question about which offer is live or what the first one said.

Do they need an account to sign?

No. They get a link by text and email, open it in their phone browser, and sign. No download, no password, nothing to install.

Can I require somebody to countersign?

Yes. Set the signing order, usually the candidate then the owner or a manager. Both parties get the fully executed copy by email the moment the last signature lands.

What happens after it is signed?

The executed PDF is filed on the candidate's profile with its audit trail, you are notified, and if you want it to, the job closes and the other candidates get the note you already wrote.

Get it signed while they still want it.

You'll never hire alone.
